Purpose. The template used to plan and record a weekly toolbox talk or a daily prestart briefing that covers a specific safety topic.

1.About this template

Toolbox talks are short, focused discussions on one safety topic held at the work area. They are part of Keystone's consultation with workers and must be recorded. Use this template to plan the talk, record who attended and capture what workers raised.

2.Choosing the topic

Choose a topic that matches the work coming up, a recent incident or hazard report, a seasonal risk such as heat, or a change to a procedure. The WHS and Quality Manager publishes a monthly topic list, but supervisors must adapt it to their site.

3.Running the talk

Keep the talk to ten or fifteen minutes. Explain the risk, show the control and ask workers what they have seen on site. Answer questions and record any hazard or suggestion raised. Follow up on anything you cannot answer on the day.

  • State the topic and why it matters today
  • Show the control or the document
  • Ask for examples from the crew
  • Record questions and hazards raised
  • Agree any actions and who owns them

4.Attendance

Every person present must print their name and sign. Workers who miss the talk must be briefed by the supervisor before starting the related task and their name added.

5.Records

File the completed record in the site office and upload it to the project folder. Enter any hazard raised in the WHS register and any action in the corrective action list.
